Privacy Policy – information clauses concerning the processing of personal data in relation to the use of websites or their services

This Privacy Policy contains information concerning the processing of personal data in relation to the use of websites maintained by PTWP-ONLINE Sp. z o.o. (PTWP OL) or the services available through them, particularly those provided by companies from its capital group (PTWP Group), such as Polskie Towarzystwo Wspierania Przedsiębiorczości S.A. (PTWP SA) and PTWP Event Center Sp. z o.o. (PTWP EC).
The Privacy Policy contains all the information required by the provisions of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR).
The Privacy Policy also outlines some of the terms and conditions for using the websites and the services that they provide.
Information clauses concerning data processing are divided into groups depending on the website or the services used by the user, as follows:

1. Data processed in relation to the use of websites

  1. Data: IP addresses, cookies, and other similar data about user activity and devices.
  2. The data are controlled by PTWP-ONLINE Sp. z o.o. in its capacity as the publisher of websites and the manager of IT systems that maintain them and support other services provided by companies belonging to the PTWP Group.

    1. ensure comfortable website use,
    2. monitor violations,
    3. inform about content and services provided by companies belonging to the PTWP Group or the controller's partners, a full list of whom can be found here,
    4. provide advertising space, conduct marketing campaigns, customize ads and adapt content to user interests,
    5. collect and process statistical data and perform quality and efficiency measurements,
    6. process complaints and secure claims.
  4. The data are processed in order to achieve the above-mentioned goals stemming from the legitimate interests of the controller or third parties.
  5. The legitimate interests of the controller include the need to continually raise the quality and availability of websites and the number of people who visit them or use the services they provide, including free of charge, as well as to improve the attractiveness of advertising space, both as seen by advertisers and their audiences.
  6. The Controller may disclose the data to other parties only when requested to do so by legally authorized entities or where such disclosure is necessary to pursue the aforementioned objectives, e.g. for entities that provide hosting and IT services, advertising space sales or sales support on our websites.
  7. The Controller shall store the data only for such time as is necessary to pursue the aforementioned goals, no longer than until an objection is filed against their processing.

2. Data processed in relation to creating and maintaining web accounts

  1. Data: first and last names, name of company/institution/organization/editorial office/university, position/student, landline number, mobile number, city, postal code, voivodeship, street, country, login data (e-mail and password). For some services, also a photograph. Using certain services targeted at specific industries or specializations requires setting up a user account, which may entail the processing of additional data, such as information about agricultural farm ownership, connections to the furniture/bathroom industry, holding the title of architect or doctor and professional licence number.
    Whenever users sign in to their account via another platform that verifies and authenticates their identity, we also receive data from the entity providing the service, i.e. Facebook, Google, or LinkedIn.
    If services provided through the account require the handling of data other than those processed in relation to the account as such, the processing shall also be subject to terms and conditions specified in the sections of this Privacy Policy that concern the service in question.
  2.   3. The data are processed in order to:
    1. ensure the comfortable use of websites and their services, especially via a single platform (without the need for separate login data and repeated data recording for different services),
    2. verify user identity to monitor violations or verify their authorization to access certain content or services,
    3. inform about content and services delivered by companies belonging to the PTWP Group or the controller's partners, a list of whom can be found here,
    4. conduct marketing campaigns, customize ads and tailor content to particular users, industry or interests,
    5. collect and process statistical data and perform quality and efficiency measurements,
    6. process complaints and secure claims.
  4. The data are processed in order to achieve the above-mentioned goals stemming from the legitimate interests of the controller or third parties. In the case of some services, data or processing types, users shall be requested to give a separate consent. In such cases, the data shall be processed based on the consent of the person they concern. The consent may be withdrawn at any time, using the available functionalities or by writing to e-mail: odo@ptwp.pl. The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.
  5. The legitimate interests of the controller include the need to continually raise the quality and availability of the websites and increase the number of people who visit the them or use the services they provide, including free of charge, to improve the attractiveness of advertising space, both as seen by advertisers and their audiences, and to provide a single web platform enabling access to many services.
  6. The controller may disclose the data to other parties only when requested to do so by legally authorized entities or where such disclosure is necessary to pursue the aforementioned objectives, e.g. to entities that provide hosting and IT services, advertising space sales or sales support on our websites.
  7. The Controller shall store the data only for such time as is necessary to secure the aforementioned goals, no longer than until an objection is filed against their processing.

3. Data processed in relation to event registration and participation

  1. Data: first and last names, e-mail address, name of company/institution/organization/editorial office/university, position/student, country, postal code, city, voivodeship, landline number, mobile number, login data (e-mail and password)). For some services, also an image.
  2. The data are controlled (co-controlled) by: PTWP-ONLINE Sp. z o.o. in its capacity as the publisher of websites and the manager of IT systems that maintain them and support other services provided by companies belonging to the PTWP Group and Polskie Towarzystwo Wspierania Przedsiębiorczości S.A., as the parent company of the PTWP Group, press publisher, event organizer and provider of other services available through the websites.   3. The data are processed in order to:
    1. registration for the event, as well as setting up an individual account in the registration system, which will allow the user to change the participant's data and access to other services provided by the PTWP Group companies (in the case of persons who have agreed to receive commercial information) or setting up an individual temporary account in the registration system, that will allow accessing services related only to the given event (in the case of persons who have chosen and paid for Package+ without consenting to receive commercial information),
    2. verify user identity at the entrance to the venues, as well as to print and issue a special ID card,
    3. grant access to the broadcast and rebroadcast of the event;
    4. additionally verify user identity at the entrance to the venues or restricted access zones (Premium Zone/VIP Zone, etc.),
    5. assist in booking and paying for accommodation,
    6. allow users to check the list of participants, contact and schedule appointments with other registered participants of the event through a dedicated online messenger (available as an additional service) – only if there is a legal basis for such action,
    7. marketing of services and communication by companies of PTWP Group with the participant, in the form of written or electronic correspondence or using telecommunication devices (telephones, text messages) – only if there is a legal basis for doing so,
    8. sharing the data with the organisers, partners and sponsors of the event (only if there is a legal basis for such action) in order to enable them to communicate with the participant or to market their services – in the form of written, electronic correspondence or using telecommunication devices (e.g. telephones, text messages); the data of the recipients of the aforementioned data will be published and updated on the relevant pages of the event or in information materials; (data from the media accreditation form will not be made available to partners and sponsors of the event for the aforementioned purposes and will not be made available to organisers of the event for marketing purposes),
    9. maintaining statistics and performing quality and efficiency measurements,
    10. handling complaints and securing claims.
  4. The data are processed in order to achieve the above-mentioned goals stemming from the legitimate interests of the controller or third parties, as well as to fulfil the contract or take action requested by the user before the contract is signed (objective mentioned in c.i, iii and v.). In the case of certain data or specific types of processing that cannot be considered necessary for the fulfilment of the aforementioned purposes, or in the case of purposes that cannot be considered sufficiently justified – indicated separately at the relevant data box or in the consent statements at the end of the registration form – the processing will also be based on the participant's consent.
  5. The legitimate interests include the need to continually raise quality, increase event availability and turnout, allow participants to communicate with one another, provide sponsors and partners with participant data, ensure free access to the event to a broad public, provide information about services delivered by other companies belonging to the PTWP Group or their partners and sponsors, and boost the attractiveness of advertising space, as seen both by advertisers and their audiences.
  6. The controller may disclose the data to other parties only when requested to do so by legally authorized entities or where such disclosure is necessary to pursue the aforementioned objectives, e.g. to event organizers, partners and sponsors; lists of such entities shall be published and updated on an ongoing basis on dedicated event pages or in information materials.
  7. The Controller shall store the data only for such time as is necessary to pursue the aforementioned goals, no longer than until an objection is filed against their processing.
  8. Providing data is voluntary, but necessary to register for the event, in case of failure to provide the required data, it will be impossible to complete the registration process and set up an individual account in the registration system.

4. Data processed in relation to newsletter and/or alert subscriptions

  1. Data: only the e-mail address may be processed in relation to newsletter subscriptions (if the user does not submit other data).
    In the case of alert services, users shall be required to set up an account and provide additional data to certify their eligibility to access content targeted at specific industries or specializations; in such cases, the terms and conditions of data processing in relation to creating and maintaining an account, as outlined in point 2 of this Privacy Policy, shall also apply.

    2. advertise services and allow PTWP Group companies to communicate with the users ordering newsletter and/or alert subscriptions,
    3. customize ads and tailor content to user interests,
    4. conduct statistics and perform quality and efficiency measurements,
    5. manage refunds and secure claims.
  1. The data are processed in order to fulfil the contract or take action requested by the user before the signing of the contract (objective outlined in c.i. and c.v.), as well as to accomplish the above-mentioned goals that follow from the legitimate interests of the controller or third parties.

The legitimate interests include the need to raise quality, improve the availability and attractiveness of newsletters, alerts, and other information services provided by the PTWP Group, increase the number of subscriptions, and boost the attractiveness of advertising space, as seen both by advertisers and their audiences.
  3. The Controller may disclose the data to other parties only when requested to do so by legally authorized entities or where such disclosure is necessary to secure the aforementioned objectives, e.g. to entities that provide hosting and IT services, advertising space sales or sales support on our websites.
  4. The Controller shall store the data only for a time necessary to pursue the aforementioned goals, no longer than until an objection is filed against their processing.

5. Data processing in relation to magazine subscriptions

  1. Data: e-mail address, password, first name, last name, name of company/institution/organization/editorial office/university, position/student, address.
    If the subscription of this service is ordered online, users shall be required to set up an account and provide additional data to certify their eligibility to access content targeted at specific industries or specializations; in such cases, the terms and conditions of data processing in relation to creating and maintaining an account, as outlined in point 2 of this Privacy Policy, shall also apply.
    We may receive additional data from payment operators (e.g. data concerning payment status).

    1. deliver the order and process the payment; verify eligibility to access specific content or services,
    2. advertise services and allow PTWP Group companies to communicate with the users ordering the service,
    3. customize ads and tailor content to interests of the user,
    4. collect and process statistical data and perform quality and efficiency measurements,
    5. process complaints and secure claims.
  4. The data are processed in order to perform the contract or take action requested by the user before the signing of the contract (objective outlined in c.i. and c.v.), as well as to accomplish the above-mentioned goals that follow from the legitimate interests of the controller or third parties.
  5. The legitimate interests include the need to continually raise quality, improve the availability and attractiveness of the service and other websites and services provided by the PTWP Group, increase the number of subscriptions, and boost the attractiveness of advertising space for advertisers and their audiences.
  6. The Controller may disclose the data to other parties only when requested to do so by legally authorized entities or where such disclosure is necessary to pursue the aforementioned objectives, e.g. to entities that provide distribution, shipment, advertising space sales or sales support services.
  7. The Controller shall store the data only for as long as is necessary to pursue the aforementioned goals, and no longer than until an objection is filed against their processing. In the case of objectives specified in c.i and c.v, until the expiry of the statute of limitation for the relevant claim.

6. Data processing in relation to Premium Zone services/Rankings and Reports/Reprinting License

  1. Data: e-mail address, password, first name, last name, name of the company/institution/organization/editorial office/university, position/student, address, NIP (tax identification number).
    If the service is ordered online, users shall be required to set up an account and provide additional data to certify their eligibility to access content targeted at specific industries or specializations; in such cases, the terms and conditions of data processing in relation to creating and maintaining an account, as outlined in point 2 of this Privacy Policy, shall also apply.
    We may receive additional data from payment operators (e.g. data concerning payment status).

Data: e-mail address, name and surname, company name, telephone number, address (street, building number, zip code, city, country) Prior account creation will be required in the case of the ad posting service – the information about data processing concerning the creation and possession of an account indicated in point 2 of this Privacy Policy is applied for the data provided in the registration process.

    2. enable contact with the advertiser;

  5. The basis for data processing is the necessity to perform the contract (within the scope of the objectives of subpoints a., b. and e.) and to fulfil the above-mentioned purposes resulting from the legitimate interests of controllers.

The legitimate interests consist in constantly improving quality, increasing the accessibility and number of people visiting websites or using services available through PTWP Group websites, including the users using the websites free of charge increasing the attractiveness of advertising space for both advertisers and ad audience, ensuring users a single internet platform with access to many services.
  7. By posting an advertisement, the user decides to share his data on the website to contact him regarding the advertisement. The Controller may disclose the data to other recipients only at the request of entities authorized to do so by law or when it is necessary to pursue the above purposes, e.g. to entities providing hosting, IT services or sales or support for the sale of advertising space on our websites.
  8. The Controller shall store the data only for such time as is necessary to implement the above-mentioned goals, no longer than until an objection is filed against their processing.

8. Data processed in connection with the performance of contracts concluded with Business Partners

  1. Data: first name and surname, email address, name of the company/institution/organisation/editorial office/university, position, country, postcode, city, province, landline phone number, and mobile phone number
  2. The Data Controllers (Joint Controllers) are: PTWP-ONLINE Sp. z o.o. as the publisher of websites and manager of IT systems used to maintain them and to support other services provided by the companies of the PTWP SA Group; and Polskie Towarzystwo Wspierania Przedsiębiorczości S.A. as the parent company within the PTWP SA Group, press publisher, event organiser and provider of other services available on the websites in question.

  3. The data shall be processed for the purposes of:
    1. concluding the contract;
    2. all activities aimed at effective performance of the concluded contract;
    3. communication with representatives / contact persons from the Business Partner’s side for the purpose of performing the contract;
    4. making the data available to event organisers, partners, sponsors and subcontractors in order to enable them to communicate with the Business Partner for the purpose of performing the concluded contract – the data of data recipients as specified above shall be published and updated on relevant event websites or as part of information materials on an ongoing basis;
    5. keeping statistics and measuring quality and effectiveness;
    6. handling complaints and securing claims.
  4. The basis for data processing is the necessity of performing the contract or to take action at the request of the Business Partner prior to concluding the contract, as well as the necessity of achieving the aforementioned purposes arising from the legitimate interests of the Data Controller or third parties.
  5. Legitimate interests consist in the conclusion and (in accordance with the agreed terms) effective performance of the contract, as well as in constant improvement of the quality of services provided by the companies of the PTWP SA Group.
  6. The Data Controller may make the data available to other recipients only at the request of entities authorised to do so by law or when it is necessary to pursue the aforementioned objectives, e.g. to organisers, partners and sponsors of an event, and subcontractors of concluded contracts; lists of such data recipients shall be published and updated on relevant event websites or as part of information materials on an ongoing basis.
  7. The Data Controller shall store the data only for the time necessary to achieve the aforementioned purposes, no longer than up to the moment of objecting to the processing.

9. Information about rights

Users whose personal data are processed are entitled to:

  1. request access to their data,
  2. request that their data be corrected,
  3. request that their data be erased,
  4. request that their data be transferred,/li>
  5. request that the processing of their data be limited,
  6. not be subject to automated decision-making, including profiling,
  7. object to the processing of their data,
  8. withdraw consent at any time (e.g. by sending an e-mail to odo@ptwp.pl) without affecting the legality of the processing performed on the basis of consent before its withdrawal,
  9. to lodge a complaint with respect to data processing with the appropriate supervisory body.

10. Instructions for erasing personal data

  1. The website User has the right to have the personal data concerning them, which are processed by the Personal Data Controller, erased. A request for erasure of the data should be sent to the following e-mail address: odo@ptwp.pl.
    In order to accelerate the procedure of examining the request, the User may clarify their demand, e.g. by indicating that they wish their account on a given website to be deleted, or that they no longer wish to receive commercial information. In the absence of an unequivocal statement as to the scope of personal data to be erased, the Personal Data Controller may contact the User in order to confirm whether the User’s request is tantamount to a request to delete their account on the website.
    The Personal Data Controller shall respond to the aforementioned request immediately, at the latest within a month, and should that prove impossible, the Personal Data Controller shall give the reasons therefor.
    The Personal Data Controller shall be obliged to erase the personal data if either of the following circumstances occurs:
    1. the data are not or no longer necessary for the purposes for which they were collected;
    2. the User has withdrawn their consent on which the processing of their personal data was based and there is no other legal ground for the processing of the data;
    3. the User has objected to the processing of the data and there are no overriding legitimate grounds for the processing or the User has objected to the processing of the data for direct marketing purposes;
    4. the personal data were processed unlawfully;
    5. the Personal Data Controller has a legal obligation to erase the data.
  2. Removal of the link between the User’s account on the website and their Facebook, Google and LinkedIn accounts
    If a User logs in to the website with their account(s) in external websites such as Facebook, Google or LinkedIn, the deletion of such a link between the User’s accounts via the settings on those external websites shall not be tantamount to the erasure of the personal data processed by the Personal Data Controller. In order to erase the data processed by the Personal Data Controller in connection with the maintenance of the User’s account held on the website, please use the procedure set out in 10(a) above and send a request for erasure of the User’s personal data to the following e-mail address: odo@ptwp.pl.

In connection with visiting our websites, we process your IP address, cookies and similar data on user activity or devices. If these data allow to identify your identity, then they will be treated as personal data in accordance with the Regulation of the European Parliament and of the Council 2016/679 (GDPR).
